Protect PDF FAQs

Answers to common questions about password protection, PDF permissions, passwords and document security.

What does Protect PDF do?

Protect PDF adds supported password and document-permission settings to a PDF you are authorised to secure.

Can I add a password to a PDF?

Yes. Enter a password, confirm it, and use the protection action to create the protected document when the production processing service supports the request.

Why do I need to confirm my password?

Confirmation helps prevent a typing mistake from leaving you with a protected PDF whose password you did not intend to use.

How long should my PDF password be?

A longer, unique password is preferable to a short or predictable one. Avoid names, dates and commonly used words.

Can I disable printing?

Where supported by the processing engine, you can request a printing restriction in the protection options.

Can I restrict editing?

Yes, where the selected PDF security model and processing engine support an editing restriction.

Can I stop copying text from a PDF?

A PDF can carry permissions that restrict copying or extraction in compatible PDF applications. These permissions should not be treated as an absolute barrier against every possible method of copying.

Can I restrict comments?

If the production endpoint supports the permission, comments can be restricted before the protected PDF is generated.

Can I restrict form filling?

Where supported, the form-filling permission can be restricted as part of the document protection settings.

Can I restrict document assembly?

The protection options can request a restriction on document assembly when that permission is supported by the processing engine.

Will the original PDF content be changed?

The purpose of protection is to add supported security settings while preserving the document. Exact output behaviour can depend on the source PDF and processing engine.

Can I protect a scanned PDF?

Usually a structurally valid scanned PDF can be protected like other PDFs, subject to the processing service's supported file and security features.

What if my PDF is already password protected?

An already encrypted or restricted PDF may need different handling. The service should return a real processing error if it cannot safely process the existing security rather than bypassing unknown protection.

Can I use Protect PDF for business documents?

Yes, provided you have the right to process and secure the document and your organisation's handling requirements are followed.

Does Protect PDF remove an existing password?

No. Removing an existing password is a separate security operation and should only be performed where you are authorised to do so.

Can I protect a PDF before sending it by email?

Yes. A password-protected PDF can be useful when sharing a document, but send the password through a separate appropriate channel.

Will my password appear in the PDF filename?

No. A password should not be placed in a filename. Keep credentials separate from the document name.

Can PDF permissions prevent screenshots?

No permission setting should be treated as a guarantee against screenshots, photographs or other ways of reproducing visible information.

Why might a protected PDF behave differently in another PDF reader?

PDF permissions are interpreted by the software opening the document. Different readers can expose or enforce security features differently.

What should I do if protection fails?

Check that the PDF opens normally, is within the published limits and is not using unsupported encryption or security features. Retry with a simple test PDF and use the displayed error message for diagnosis.
